Shipping Names
Shipping names are the labels the warehouse uses to identify which incoming packages belong to your account. When a package arrives, the receiving team checks the name on the shipping label against the shipping names registered in the system. If there is a match, the package is linked to your account and processed through your prep workflow. If there is no match, the package may be delayed while the team figures out where it belongs.
Why Shipping Names Matter
Every supplier, retailer, and marketplace uses the name you provide at checkout as the recipient on the shipping label. If you order inventory from five different suppliers and use a different name variation on each one, the warehouse needs to know all of those variations to connect the packages to your account.
Without accurate shipping names, packages can sit in the receiving area unassigned. This slows down your turnaround time and can create confusion when multiple clients have similar names. Setting up your shipping names correctly from the start ensures that your packages are identified and processed as quickly as possible.
Adding a Shipping Name
To add a new shipping name, navigate to the Shipping Names section from the Inbound page. Click the button to add a new shipping name, type the name exactly as it appears on your shipping labels, and save it.
Be precise when entering shipping names. The name you enter should match what your suppliers will print on the label. If you typically order under "John Smith" but one supplier uses "J. Smith," you may need to add both variations so the warehouse can match either one.
You can have up to three shipping names on your account by default. If your workflow requires more than three, you can request an increase through your account administrator. Most accounts find that three names cover the common variations, but high-volume sellers with multiple purchasing identities may need additional slots.
Deleting a Shipping Name
If a shipping name is no longer in use, you should remove it from your list. Outdated names clutter the selection options and can lead to confusion if the warehouse matches a package to a name you no longer actively use.
To delete a shipping name, find it in your list of current names and click the delete option. The name will be removed immediately. Make sure you are not currently using this name with any active suppliers before removing it, as packages shipped under a deleted name will not be automatically matched to your account.
Best Practices
Keep your naming conventions consistent across all your supplier accounts. If you decide to use "PrepFlow Warehouse" as your shipping name, use that exact string everywhere. Avoid variations like "Prepflow Warehouse" or "PREPFLOW WAREHOUSE" unless you have added those as separate shipping names, since matching may be case-sensitive depending on your configuration.
Review your shipping names periodically, especially if you change suppliers or update your purchasing accounts. Removing names that are no longer relevant reduces the chance of accidental mismatches and keeps your account tidy.
Before a high-volume inbound session, such as during peak season or after placing a large number of orders, double-check that all the names you used at checkout are registered in the system. Adding a missing shipping name after packages have already arrived creates unnecessary delays. A quick review before the packages ship saves time on the receiving end.
If you use parcel forwarding services, keep in mind that the forwarding company may apply their own label with a different name. Coordinate with the forwarding service to confirm which name will appear on the final shipping label, and make sure that name is in your shipping names list.
